TMS Technician

We are seeking TMS Technicians who will be trained to administer in-office therapeutic treatments under the direction of our treating physician(s). This individual will work closely with our providers as well as other clinical staff members to administer daily treatments, patient scheduling, updates to patient records, and complete other administrative/clinical tasks as needed. In addition, they will also be trained to discuss what TMS is, how it works, and what to expect during treatment with prospective patients. Hourly rates start at $20-$23/hr depending on experience, and both full-time and part-time positions available.

Primary Responsibilities: 

  • Delivering daily treatments to patients (training provided)
  • Providing informative consultations to potential patients
  • Providing a safe and therapeutic environment for daily treatment sessions 
  • Administrative and clinical tasks such as managing leads, reporting statistical patient information to the Clinic Manager, scheduling appointments, and managing/updating electronic medical records in compliance with HIPAA

Preferred Qualifications:

  • Two or more years of related experience (CNA, CMT, Medical Assistant, Patient Care Technician: i.e; Ultrasound, Radiology, Dialysis)
  • Proficient with data management software (G-suite, Excel, EHR, EMR)
  • Experience in a clinical setting, including operating medical/technical devices

Preferred Experience and Certification:

  • EHR/EMR Experience (AdvancedMd preferred)
  • BLS/CPR Certification
  • Experience in a behavioral health capacity

Clinic Coordinator

We are seeking Patient Care Coordinators/Clinic Supervisors to become part of our dynamic teams in the PNW! The ideal candidate will provide administrative support, patient care coordination (including benefits authorizations and verifications), answer inquiries and drive patient volumes for their assigned clinic. This position will be responsible for initial screening/consultations with prospective patients, discussing what TMS is, what to expect and how it works (training provided), while gathering patient medical histories to determine with relative certainty that the prospective patient meets medical necessity prior to scheduling them to meet with our treating physicians. Compensation for this role will be commensurate with both experience, as well as your potential for growth and advancement within NeuroStim TMS! 

Primary Responsibilities: 

  • Patient appointment scheduling, insurance verification/benefits checks, creation and maintenance of new patient records (EMR/EHR)
  • Providing educational consultations to interested patients (via phone and in-person), including financial counseling as needed
  • Oversight/management of co-pay collection, postings and account balances at each patient appointment (in coordination with our billing team)
  • Maintenance and reporting on our databases by entering, updating, and retrieving reports regarding clinical metrics and patient/treatment data
  • Answering incoming phone calls and other clinical/administrative duties
  • Assisting TMS Technicians with patient care as needed (including learning how to administer TMS treatments in-clinic as needed)
  • Responsibility for general appearance of clinic, including meeting/maintaining our high standards of cleanliness, orderliness and availability of supplies to keep our clinic running smoothly

Minimum Qualifications:

  • Two or more years of related office management/administrative experience
  • Two or more years of solid supervisory experience (hiring, firing, disciplinary actions, coaching/performance improvement plans)
  • Proficient with data management software (G-suite, Excel, EHR, EMR)
  • Comfortability working in a small team setting while collaborating with NeuroStim TMS teams at large
  • Ability to give high priority status to our patients whether in-office or over the phone
  • Insurance authorization experience, including using insurance portals for verification purposes and ability to complete insurance claims, start to finish
  • Experience with EHR/EMR (experience with AdvancedMD highly desired)
  • Knowledge of HIPAA regulations  
  • Bachelor’s degree required (psychology preferred)
  • Valid driver license (preferred due to potential for clinic travel)

Area Manager

We are currently seeking an Area Manager to become part of our dynamic PNW team! The Area Manager will oversee their assigned region (either North or South), and will be responsible for fostering continued functionality, increased efficiency, and the overall growth of the clinics under their scope of responsibility. 

The ideal candidate will be the point of contact for executive leadership and the Clinical Operations Manager in matters of supervision, support, and managerial/operational aspects of the clinical staff and locations within their region. The Area Manager will also work to assist in the development of their assigned Clinic Coordinators (Clinic Managers), and will provide occasional coverage for staff to support the business’ needs while maintaining NeuroStim TMS’s exemplary standards of patient care. 

Primary Responsibilities:

  • Collaboration with executive management, including other Area Managers, Marketing, Human Resources and Clinical Operations teams
  • Oversight, training, development, reviews and coaching of area Clinics and Clinic Managers in collaboration with HR
  • De-escalation of grievances (staff or patients) as needed
  • Management and oversight of CRM and EHR platforms (Salesforce and AdvancedMD)
  • Insurance authorizations and peer-to-peer follow ups as needed
  • Regional reporting of clinical metrics, to be presented regularly/as needed
  • Inquiry calls, clinical staffing and the ability to fill in for Technicians and Coordinators (training provided to administer TMS treatments)
  • Monitoring and correction of overtime and scheduling compliance in addition to coaching Coordinators to submit staff time cards in a timely manner, ensuring that payroll remains on schedule
  • Oversight of clinical orders, supplies and expenses with stewardship in mind
  • Ongoing technical troubleshooting for live programs related to the clinic needs, including EHR, CRM and timeclock portals
  • Professional and collaborative communication with all levels of staff, including peers, subordinates, patients and referral sources
  • Superior product and market knowledge is developed and healthcare professionals are effectively educated and engaged in dialogue about clinical evidence, approved indications, and product efficacy/safety profiles to support on-label prescribing
  • Acquisition of new patients, referrals, and referral sources through the implementation of strategic marketing plans (in collaboration with the Marketing team) 

Reporting and Recording:

  • Appropriate projections for the profitability of area clinics (including clinical flow data)
  • Pro-bono programs and financing agreements are utilized and monitored
  • Data is recorded to capture referral call data, market and demographic changes and characteristics, communication response data and expense reporting
  • Participation in a regular cadence of meetings with executive leadership in an effort to produce information summaries related to key initiatives for use in both internal and external reporting, including: 1) Identifying, designing and implementing best practices, ensuring the capture of necessary data to include clinical information, referral/inquiry calls, demographic and financial data, including performance data 2) Produce, understand and review for accuracy insurance authorization and submission data to identify trends and participate in the development and implementation of corrective action planning or process refinement 3) Support to the Clinical Operations team to audit performance and standards of patient care while achieving continuous improvement through modeling, analytics, and partnership, providing optimal integration of business and clinical processes and outcomes 

Required Qualifications:

  • 2-5 years of direct clinical management experience (behavioral health preferred)
  • Bachelor’s Degree
  • Demonstrated expertise in software programs and operating systems (G-Suite, Excel, AdvancedMD, Humanity and Salesforce a plus!)
  • Valid Washington State Driver License (reliable transportation needed)
  • Ability to travel to multiple clinic locations daily or as-needed (travel expectations are 50-60% of the time, mileage reimbursement provided)

Nurse Practitioner

NeuroStim TMS is a patient-focused, dynamic, and rapidly growing company specializing in outpatient TMS Therapy for those suffering from Major Depression, Anxiety, OCD, PTSD, and similar conditions. Our physicians and practitioners are highly respected in the Puget Sound region, and our administrative staff is the finest in the area. 

Our Nurse Practitioners are responsible for 100% patient care with no nights, weekends or on-call shifting! Full and part-time positions are available for our seven clinical locations (Seattle, Bellevue, Everett, Lacey, Lakewood, Port Orchard, and Federal Way). Compensation for this role will be flexible and commensurate with experience and employment status. Full-time employment will range $200,000.00 – $250,000.00 annually (with bonus potential), and part-time being offered at a prorated status of $90.00 – $120.00/hour.  

Primary Responsibilities:

  • New Patient intakes and evaluations
  • Prescriptions for TMS therapy and other treatments
  • TMS Cortical Mappings (training provided)
  • Oversight of staff Technicians performing daily TMS treatments
  • Follow-ups with patients for treatment progress, therapy and medication management
